• Provide regular property inspections and reports
• Recommend steps and plans for preventative maintenance
• Maintain database of all on-site request and repair activity
• Procure vendor contracts and monitor performance
• Prepare contractor agreements for property
• Secure bids for repair/replacement work
• Provide recommendations for best value/cost to the board
• Supervise employees, vendors, and contractors working in common areas
• Purchase, deliver, and document expenditures for required supplies and materials
• Provide service for minor repairs to properties without superintendants
• Troubleshoot and recommend solutions for all maintenance-related issues
• Provide
necessary access to vendors, contractors, and other repair/service personnel
• Collect all common charges, maintenance, assessments, and fines
• Pay all bills for the association in a timely manner
• Prepare and submit annual budget for Board review and acceptance
• Monitor and document property income and expenses
• Coordinate with the property's accountant for annual audits and taxes
• Generate simple, informative, monthly reports
• Provide 24 hour/7 day on-line access to bookkeeping records
• Maintain files and bookkeeping records
• Register as official agent with local municipalities
• Process required city and state applications, forms, and paperwork
• Assist Board with obtaining insurance for property and manage documentation
• Obtain insurance certificates from vendors and contractors as needed
• Attend Board meetings and provide agenda-relevant information
• Follow and remain apprised of local laws, municipal codes, and regulations
• Inform the Board of compliance issues and provide recommendations
• Manage annual inspections and filings as needed for compliance (elevator, boiler, fire, etc.)
• Enforce "House Rules" at the direction of the Board
• Act in the best interest and welfare of the property, its owners, and tenants
